the following terms and conditions:
1) Bookings require a non-refundable $600 booking fee/deposit to reserve the date/s of your choice for the price quoted. Quoted prices are not subject to GST or change once the deposit is received. The booking fee is included in the package price quoted on the attached price list.
2) Heartlink Films does not take bookings for ‘roving microphone’ weddings where a microphone is passed around the reception and guests present their speeches from their seats. Recorded sound quality suffers badly in this environment and high quality audio is very difficult to attain. Heartlink Films will only film weddings where speakers come to a lectern, podium or microphone stand which Heartlink can equip with wireless microphones. Please choose and alternative videographer if a roving microphone is essential at your reception.
3) It is appreciated if a meal and seating can be provided for the videographer and his assistant at the reception.
4) Clients should allow a minimum of 12 weeks for the production to be edited from the receipt of all materials required for the project including coming-of-age photographs, music and the bridal party names list (required for credits) and the list of reception speakers (required for the DVD interactive menu buttons).
5) Liability is limited to a maximum of the monies paid by the individual client. This includes non-performance of Heartlink Films operators for any reason eg. illness or accident. This also includes faulty materials, equipment failure or any other loss or damage to goods or services.
6) Heartlink Films cannot be held responsible for the impact on filming caused by environmental conditions. Only available lighting is used in the church / ceremony venue unless prior arrangements are made. On-camera lighting will be used at the reception during speeches, the bridal waltz, cutting of the cake etc. to maintain picture quality.
7) Sound recording will be taken from a highly sensitive camera-mounted microphone and also, where possible during the vows, a wireless UHF lapel microphone concealed on the groom.
8) It is the responsibility of the client to obtain the permission of the clergy or marriage celebrant to video the ceremony.
9) It is also the responsibility of the client to notify the still photographer/s that they have commissioned Heartlink Films to film every aspect of their day including photography sessions. The package price remains unchanged if photographers attempt to deny the filming of any aspect of these photography sessions. It is also the responsibility of the client to obtain written permissions for the use of any copyrighted materials in the 'Coming Of Age' segment, particularly in relation to still photographs.
10) Heartlink Films reserves the right to use any audio/visual material it captures for promotional purposes.
11) It is the responsibility of the client to check DVD-R playback compatibility with all the machine/s on which they are to be played before ordering their production on DVD. Heartlink Films is not liable for either a DVD refund or replacement should format incompatibility arise with any present or future make or model of DVD player.
12) The client acknowledges that Heartlink Films accepts no liability for damages for illness or personal injury arising out of or in the course of filming the event.
13) While Heartlink Films make every effort to secure optimum filming positions, no responsibility is taken for recording position limitations or unforseen obstructions or noises.
14) Unless specific requests are received in writing prior to the wedding, editing will be solely at the discretion of Heartlink Films. Additional editing or changes requested after completion of the initial edit will be charged at $85 per hour. Clients’ files are deleted from the Heartlink Films editing suite three weeks from the time the clients initial edit is mailed or collected. Change requests must be received before this three-week period expires.
